Every package is priced on the site — fixed fees, agreed in writing before work starts

QuickBooks Online & operations consulting

You already know something’s broken.

For small and medium-sized businesses running QuickBooks Online, the hard part is knowing which thing to fix first — and what it’s costing you to leave it alone.

  1. A free discovery call

We confirm fit, map where the work gets stuck, and tell you which package fits — or that none does.

  2. A paid audit

A working session per workflow, then a written report ranking every finding by what it costs you now.

  3. Then your decision

Build it with us or take the report elsewhere. Either way the scope is signed before anyone touches anything.

Founder-led. Twenty years across accounting, operations, HR, and IT — the person on your call is the person doing the work.
Audit reportFindings, ranked by cost
  1. Quote follow-upNothing chases a quote after it’s sent~14 hrs/mo
  2. Job details re-keyedEntered once in the field, again in the office~9 hrs/mo
  3. Receipts from the fieldCollected at month-end, some never arrive~6 hrs/mo
Recommended first

Quote follow-up — highest cost, lowest effort, no new software required.

Illustrative. A real audit report runs 8–15 pages, one section per workflow.

What protects you commercially

Fixed fee, agreed up front
You approve a written scope and price before we start, and the number doesn't move. No hourly billing — a slow week is our problem, not a bigger invoice.
A written deliverable you own
The audit report is yours whether or not you build anything with us. Take it to another firm if you'd rather.
Scope signed before any build
What gets built, and the criteria it has to meet, are agreed in writing after the audit. Scope never expands quietly.
Consulting, not software resale
We take no commission on tools we recommend. Automations run on your accounts and are documented for your team.

The actual problem

Most owners know something’s broken. Almost nobody can tell you which thing to fix first.

There are always a dozen things that could be improved. Picking the wrong one first is how automation projects end up half-finished and quietly abandoned.

So we don’t start by building. We start by measuring — workflow by workflow, with the people who actually run them — and rank what we find by what it costs you now.

The point

A ranked list beats a wish list. You can only act on one thing first.

Illustrative findings, not a real client’s.

The cost of leaving it

How much is the manual work costing you?

Pick the work that actually eats your week. Each one is costed separately, at what that hour really costs you — a rough estimate, never a quote.

For demo purposes only — concept mock-up

Chasing a quote, without chasing it

A quote goes out and goes quiet. The sequence chases it on schedule, stops the moment someone replies, and requeues the ones that aren't a no.

What happens, in words
  1. A quote is sent and then sits. Six days later nobody has chased it, because chasing it was nobody's job in particular.
  2. The follow-up sequence runs on the schedule you set — day 2, then day 5 — and each send is logged against the quote.
  3. When the customer replies, the chase stops immediately. Nobody receives a third nudge after saying no; that single rule is what separates a follow-up sequence from a nuisance.
  4. A “not yet” isn't a dead end: the quote requeues itself for spring with the original attached, so it comes back on its own.
  5. The quote that did convert was accepted off the second follow-up — one nobody wrote, sent on a day nobody chose.

This is a concept mock-up, not a recording of shipped software. We build this workflow inside your own tools during an engagement — it isn't a screen you log into. The interface shown is illustrative.

Estimated opportunity

2 workflows selected. About 14.2 hours and $938 a month.

14.2 hrsestimated monthly hours going into this work
$938estimated monthly cost of that time, at the rates shown
7.0–9.8 hrstypically recoverable once the work is restructured
$435$623estimated monthly value of recovered time

That’s about 0.1 of a full-time person, every month.

Biggest single drain: Quote follow-up at 7.5 hrs a month.

These are estimates from your own numbers, not a quote. Which one is actually worst in your business — and what it would take to fix — is what the audit measures.

Where it goes wrong

The same five problems, in almost every business.

None of these are unusual. They’re what happens when a business grows faster than the process it started with.

The same thing gets typed in twice

A job is booked in one system, invoiced in another, and reported in a spreadsheet. Every re-entry is a chance to get it wrong.

Paperwork comes back late, or not at all

Photos, receipts, signatures, and notes live on phones until someone chases them — usually at the worst moment of the month.

Approvals happen in text messages

Decisions get made in side conversations with no record, so nobody can answer who agreed to what, or when.

It only works because one person remembers

The process lives in someone's head. When they're on holiday, or leave, the business finds out how much was undocumented.

You find out too late to act

Whether a job made money, whether an invoice went out, whether something was missed — all of it surfaces weeks after you could have done anything.

Best fit

Built first for QuickBooks Online businesses.

We work best with small to medium-sized businesses that use QuickBooks Online as the accounting hub, then connect the operational tools around it.

Best fit

Small to medium-sized businesses running QuickBooks Online as their accounting system, especially when the real work also lives in scheduling, CRM, inbox, payment, document, or spreadsheet tools.

Still practical outside QuickBooks

QuickBooks Online is the main early niche, not a wall around the work. If your process depends on other tools, we still trace how information moves through the whole stack before recommending a fix.

Not a fit right now

We are avoiding heavily regulated financial services, government, medical, and legal work. Those environments deserve deeper compliance infrastructure than we want to promise casually.

QuickBooks plus the rest of your stack

QuickBooks Online is usually the accounting hub. The rest still matters.

We lead with QuickBooks Online businesses, then trace the tools around the books: scheduling, CRM, forms, inboxes, payments, payroll, documents, and spreadsheets. Anything we build runs on your accounts — documented, so your team can maintain it without us.

How we work

The terms matter as much as the work.

Fixed fee, agreed before we start

You approve a written proposal with a fixed scope and a fixed price. No hourly billing, so a slow week is our problem rather than a bigger invoice for you.

A written deliverable you own

The audit report is yours whether you build anything with us or not. It’s a document you can act on, hand to someone else, or ignore.

Scope signed before any build

What gets built, and the criteria it has to meet, are agreed in writing after the audit and before anyone touches anything. Scope never expands quietly.

No software to buy from us

We take no commission on any tool we recommend. Automations run on your accounts, documented, so your team can maintain them without us.
